SHOPBELL RELAY · CUSTOMER GUIDE

Help & Terms

A plain-language guide to the inquiry-response service, customer support, private dossiers, and the terms that apply to an issued quote.

START WITH THE RIGHT PATH

How to reach the team

Questions before or outside a working dossier

Use the existing enquiry form for prospective-service questions or general questions. Include the reply email address you want the team to use.

Go to the enquiry form

When your private dossier opens

Use its reply form. The message is saved with the enquiry for authorized staff to review.

If a quote, brief, status, or dossier link will not open, use the enquiry form with the same reply email address and ask the team to check the private link. That request does not automatically replace or resend a link.

THE SERVICE

A workflow shaped for your business

Shopbell Relay works with U.S. dealerships, auto-repair shops, and detailers on inquiry response and follow-up. Depending on the issued quote, work may cover:

  • Responses to new inquiries
  • Follow-up through approved text or email channels
  • Follow-up on unbooked quotes
  • Appointment support and reminders
  • Permission-based reactivation of an old contact list
  • Review requests

These are possible service components, not a promise that every workflow includes each one. A component is included only when the customer’s issued quote says it is included.

Shopbell Relay offers flexible monthly service plans without requiring a long-term commitment. All subscriptions are billed monthly in advance on a month-to-month basis, with no long-term contract or mandatory annual commitment. Additional services or custom projects outside the agreed subscription scope will be discussed and approved separately before work begins.

Customers may cancel any time before the next billing renewal by written request through the designated Shopbell Relay contact channel: shopbell-relay@polsia.app. Service remains active through the end of the current paid billing period. No further recurring subscription charge applies after cancellation takes effect. Payments for billing periods that have already started are non-refundable. Any outstanding balances must be paid before account closure. Shopbell Relay processes approved subscription cancellations through the hosted billing system so recurring charges stop when cancellation takes effect.

Upon cancellation, Shopbell Relay discontinues the applicable automation and management services and coordinates discontinuation of applicable integrations. Customers may request copies of their available business data before service ends. If a subscription payment fails, customers have five days to resolve it. After that grace period, continued nonpayment may result in temporary service suspension; suspension is not automatic at the five-day mark.

Standard support is email-based, with a response within two business days Monday–Friday and routine workflow maintenance and adjustments within the agreed scope. Premium includes priority assistance, a response within one business day Monday–Friday, priority workflow adjustments, dedicated account support, monthly performance reviews, and recommendations for improving customer communication and automation performance. Support response times measure acknowledgment and response, not guaranteed resolution. Uninterrupted operation of third-party platforms or integrations outside Shopbell Relay’s control is not guaranteed.

We believe in earning your business through reliable service, measurable value, and consistent support.

YOUR INFORMATION

Enquiry details and private dossiers

The reply email address, optional phone number, enquiry request, and workflow brief details you provide — such as your name, inquiry sources, services, tools, hours, and contact permissions or limits — are saved with the enquiry for staff review and service planning. Permission answers are supplied by you; they are not independently verified and are not legal advice.

Customer replies, issued quote versions, the accepted quote scope, job status history, staff updates, delivery details, and job file links stay with the private dossier. They are shown to the holder of its link and to verified staff in the admin area.

A dossier opens through a private link without account sign-in. Anyone holding that link may be able to view its details; the link does not verify the identity of the person opening it. Keep the link private.

Private-link and quote emails use the reply address supplied with the enquiry. When the email service accepts a send request, that does not confirm delivery to an inbox.

THE ISSUED QUOTE CONTROLS

Review your version for service and cancellation terms

The actual issued quote version sets the terms for that proposal. It contains the applicable service scope, deliverables, contact channels and limits, charges and billing schedule, timing, exclusions or prerequisites, payment instructions and terms, and cancellation terms. If a job is accepted, its dossier preserves the terms from the accepted quote version. Use your private quote or dossier to check the exact terms for your request; the public service offers above do not replace them.

Accepting, declining, or requesting a change applies to one quote version. Acceptance records a decision; it does not charge you, confirm an appointment, or record delivery. Quote responses do not use the separate online checkout on the pricing page. Appointment times remain requests until your business confirms them.

For cancellation of an accepted quote or job, separate from a monthly service-plan subscription, follow the cancellation terms in the accepted quote and use the private dossier reply form. If the dossier will not open, use the enquiry form with the same reply email address. Service-plan cancellation is requested in writing by email as described above; the quote and dossier flow does not provide a self-serve action.
